How to Start A Chapter
Meeting
(Tool Kit)
Starting a Chapter Meeting
in your area is easier than you might think. Simply follow the steps
below to join the growing number of cities where successful Chapter
Meetings are taking place.
•Meeting Content / Agenda Templates
As a starting point in putting together the program for your
meeting, there are two different agenda template drafts available.

Again, these are simply suggestions based on what has worked in a
few other cities. To make the Chapter Meeting success for your local
members, modify these agendas as necessary.
•Member Contacts
To invite current IAAM members in your area to the Chapter meeting,
you must acquire the list of names from IAAM HQ. This can be done in
one of two ways; by accessing the database of names on the IAAM site
querying by location or by contacting IAAM staff member, Gina
Brydson, who can email the list to you. To add to the invitation
list, it is possible to receive a list of alumni of PAFMS at Oglebay
that may still be living in your area. Please contact Gina Brydson
to have this emailed to you as well.

•Selecting a Host Venue
The selection of the meeting site can enhance the program and attendance
at the Chapter Meeting. A recently constructed or renovated venue can
add opportunities for programming regarding new technology or techniques
as well as providing an occasion for tours. Other site selection
considerations include the size of the venue, the geographic location
within the chapter and the parking requirements.
•Refreshments
Networking opportunities are an important aspect to IAAM and the Chapter
Meetings. This can be facilitated with refreshments of any kind.
Generally the host site determines what snacks or beverages are
available depending on the time of day, attendance and costs..
•Getting the Word Out
The most common way to get the invitation out is by email. Once the
agenda, program, location and refreshments are set, this information
becomes the basis for the invitation that can be emailed to those on the
invitation list. This can be followed up by phone calls and individual
emails to the leadership of the larger venues to encourage them to allow
their employees to attend.
To further promote the event, the
agenda should be sent to IAAM to be posted on the Chapter pages on
the IAAM website. In most cases, your Chapter Meeting can also be
included in the IAAM e-newsletter. (Please allow at least seven days
prior to publication.)

•Success!
After your Chapter Meeting, it is important to let us know how it
went. The best way to do that is to have minutes taken at the
meeting and sent to IAAM. They will also be posted on the IAAM
website.
