Chicago Fire/TOYOTA PARK (Bridgeview, IL) Description: POSITION PURPOSE The Guest Services Intern will report directly to the Director of Guest Services. This position is responsible for assisting with the planning, development and execution of Toyota Park events, with a specific focus on providing administrative and operational help to the Guest Services Department. The Guest Services Intern will be required to help with the scheduling of event staff personnel and assisting the crew on event day by monitoring ticketed and non-ticketed events, monitoring guest and facility employee safety, and maintaining building safety standards and policies specific to the event requirements. Listed below are the responsibilities and qualifications expected of this position. JOB RESPONSIBILITIES Assist with compiling and communicating all event requirements to various departments at Toyota Park. Support the Director of Guest Services with preparing and distributing detailed production notes to event staff personnel. Manage, maintain and organize event files which include all planning and execution strategies for Toyota Park Guest Services. Implement facility rules, regulations, policies, and procedures. Handle additional administrative duties related to the Event Services Department as assigned by the Director of Guest Services to include such items as: • Research • Filing • Scheduling • Database Compilation Work with the Human Resources department to review and record Guest Services personnel employment paperwork and work hours for the purposes of payroll. Assist the Director of Guest Services and event staff personnel with event execution. Responsibilities include but are not limited to: • Inspect facility prior to each event and the complete accurate and detailed event and incident reports. • Ensure the event staff sign-in sheets, time clocks and event paperwork are accurate and complete. • Instruct ticket takers and contracted security to make sure they are set up correctly before gates open. • Handle patron problems and complaints in a calm, professional, courteous and timely fashion. • Gather and disseminate event specific information to event staff, medical, fire and police personnel through pre-event briefings and/or event information sheets in addition to ongoing communication updates throughout the event. • Monitor facility for unsafe conditions and accidents • Monitor and enforce event staff uniform and appearance guidelines. • Prepare documents when having witnessed an incident. Ensure that involved staff and witnesses prepare documents. • Work with event staff personnel on event specific requirements such as entrance search or restricted area access control. • Work with box office personnel to assist in resolving event related ticketing issues such as obstructed view seating, accessible seating, duplicate tickets and fraudulent/counterfeit tickets. • Inform stadium operations and facility staff of broken seats, handrails, lighting, and any other needed repairs or safety concerns. • Turn in and ensure that lost items are logged and documented. • Other duties as assigned. QUALIFICATIONS Only students eligible to receive course credit will be considered. Students are required to provide documentation of receiving academic credit for the internship experience. Toyota Park internships are not paid internships. A $250 per month transportation stipend will be provided. Students should be pursuing experience in event planning, facility operations, communications, or a related field. Must be well organized and demonstrate an ability to manage multiple projects with minimal supervision; must possess strong written and verbal communication skills and the ability to effectively work with a large and diverse population. Ability to fluently speak a second language is preferred. Proficiency with presentation development, computer applications, and general office software is necessary. Must be able to operate under extreme deadlines. Must be able to work at least 30 hours per week. Must be willing to work long hours, irregular schedules and weekends. of Buckeye basketball and ice hockey. INTERN JOB DESCRIPTION: The Park Operations Internship will
encompass all areas of park operations from office operations,
event planning and execution, baseball game execution, field
maintenance and building maintenance; for the other half of the
internship he/she will work in more of an event management
capacity; for the other half of the internship he/she will learn
about the field maintenance, building maintenance scoreboard
development and how all areas within park operations contribute
to the successful running of the ballpark.
